Welcome to NoidNurse

NoidNurse is your central hub for managing assignments, tracking patient care, and handling all administrative tasks. Your dashboard provides a quick overview of your schedule, current assignments, and performance metrics.

Your Dashboard Overview

  • Today's Schedule: View all your assignments for the current day with patient names, times, and locations.
  • Current Assignment: Quick access to your active assignment with one-click care logging.
  • Quick Vitals Entry: Record patient vitals directly from the dashboard.
  • Performance Stats: Track your rating, completed assignments, and hours worked.

Bookmark your dashboard page for quick access. You can also add the NoidNurse mobile app to your home screen for even faster access.

Managing Your Profile Information

Keep your profile up-to-date to ensure smooth communication with patients, families, and care coordinators. Accurate information is essential for scheduling and compliance.

How to Update Personal Information

  1. Navigate to your profile page by clicking your avatar in the sidebar or topbar.
  2. Click the "Edit Profile" button in the top right corner.
  3. Update your name, phone number, email, or address as needed.
  4. Upload a professional photo (recommended for patient recognition).
  5. Click "Save Changes" to apply your updates.

Credentials & Certifications

Your credentials section displays all your professional qualifications. Keep these current to maintain your active status.

  • Nursing License: State-issued RN/LPN/LVN license with expiration tracking.
  • Certifications: BLS, ACLS, specialty certifications, etc.
  • Background Check: Annual background verification status.
  • Training Completion: Required annual training modules.

Setting Your Availability

  1. Go to your profile and select the "Availability" tab.
  2. Choose your preferred work days by clicking on each day of the week.
  3. Set your available hours for each day (e.g., 7 AM - 7 PM).
  4. Specify preferred shift types: Day, Evening, Night, or Flexible.
  5. Add geographic preferences if you have location restrictions.
  6. Save your availability settings.

Important

Expired credentials will automatically pause your ability to receive new assignments. Set up expiration reminders to stay proactive about renewals.

Understanding Your Assignments

Assignments are scheduled patient care visits. Each assignment includes patient information, service type, location, and expected duration. You'll receive notifications for new assignment offers.

Accepting or Declining an Assignment

  1. Review the assignment details: patient name, location, date/time, and services required.
  2. Check if the assignment fits your schedule and qualifications.
  3. Click "Accept" to confirm or "Decline" if you cannot take the assignment.
  4. If declining, select a reason from the dropdown (helps improve future matching).
  5. Respond promptly - assignments may be reassigned if not accepted quickly.

Check-In and Check-Out Process

Check-In
  1. Arrive at the patient's location at the scheduled time.
  2. Open the NoidNurse app or web portal.
  3. Navigate to your current assignment.
  4. Click "Check In" - GPS verification may be required.
  5. Confirm you've arrived and are ready to begin care.
Check-Out
  1. Complete all required care documentation.
  2. Ensure vitals and care logs are submitted.
  3. Click "Check Out" when leaving the patient.
  4. Add any final notes about the visit.
  5. Confirm the check-out to complete the assignment.

Best Practice

Always check in upon arrival and check out when leaving. This ensures accurate time tracking for payroll and provides documentation of your visit for compliance purposes.

Your Schedule Calendar

The schedule page provides a calendar view of all your upcoming assignments. You can view by day, week, or month to plan ahead.

Navigating Your Schedule

  • Day View: Detailed hourly breakdown of a single day.
  • Week View: Seven-day overview with assignment blocks.
  • Month View: Full month calendar with assignment indicators.
  • Filters: Filter by status, patient, or service type.

Requesting Time Off

  1. Go to the Schedule page and click "Request Time Off".
  2. Select the date range for your requested time off.
  3. Choose the type: Vacation, Sick Leave, Personal, or Other.
  4. Add any notes or explanation (optional but helpful).
  5. Submit your request for coordinator approval.
  6. You'll receive a notification when your request is approved or denied.

Shift Swaps

Need to swap a shift with another nurse? Here's how:

  1. Find the assignment you need to swap on your schedule.
  2. Click on the assignment and select "Request Swap".
  3. The system will show available nurses who can cover.
  4. Select a nurse and send the swap request.
  5. Once accepted by the other nurse, coordinators will review.
  6. Both parties are notified when the swap is finalized.

Advance Notice

Request time off at least 2 weeks in advance when possible. Last-minute requests may not be approved if coverage cannot be arranged.

Documenting Patient Care

Accurate care documentation is essential for patient safety, continuity of care, and compliance. NoidNurse makes it easy to record all aspects of your patient visits.

Creating Care Log Entries

  1. Navigate to the patient's profile or current assignment.
  2. Click "Add Care Log Entry" or use the quick entry from dashboard.
  3. Select the type of care provided (medication, wound care, therapy, etc.).
  4. Enter detailed notes about the care provided.
  5. Record any vitals taken during the visit.
  6. Note patient condition, mood, and any concerns.
  7. Add photos if needed (wound documentation, medication labels).
  8. Submit the care log entry.

Viewing Patient Information

Each patient profile contains important information for providing care:

  • Personal details and emergency contacts
  • Medical history and diagnoses
  • Current medications and allergies
  • Care plan and physician orders
  • Previous care logs and vital trends

HIPAA Reminder

All patient information is confidential and protected by HIPAA. Never share patient details outside of the care team, and always log out when finished.

Uploading Documents

  1. Go to your Profile and select the "Compliance" or "Documents" tab.
  2. Click "Upload Document" next to the relevant credential type.
  3. Select your file (PDF, JPG, or PNG accepted).
  4. Enter the expiration date of the document.
  5. Add any notes if needed (license number, issuing authority, etc.).
  6. Submit for verification - you'll be notified once approved.

Expiration Alerts

NoidNurse automatically tracks expiration dates and sends reminders:

  • 60 days before: First reminder to begin renewal process.
  • 30 days before: Urgent reminder - renewal deadline approaching.
  • 7 days before: Final warning - immediate action required.

Warning

If a required credential expires, you will be unable to accept new assignments until it is renewed. Plan ahead to avoid gaps in your ability to work.

Timesheets & Pay

Managing Your Timesheets

Your time is automatically tracked when you check in and check out of assignments. However, you can review and submit corrections if needed.

How Time Tracking Works

  1. Check in when you arrive at a patient's location.
  2. Your time is recorded automatically in the system.
  3. Check out when you complete the visit.
  4. Total hours are calculated including any mileage or travel time (if applicable).
  5. Review your timesheet at the end of each pay period.
  6. Submit any corrections or additions before the deadline.

Viewing Your Timesheet

  • Navigate to Timesheets from the sidebar menu.
  • View a breakdown of hours by day and assignment.
  • See calculated regular hours, overtime, and totals.
  • Export or print your timesheet if needed.

Requesting Time Corrections

  1. Go to Timesheets and find the entry that needs correction.
  2. Click "Request Correction" next to the entry.
  3. Enter the correct start and/or end time.
  4. Provide a reason for the correction (forgot to check out, system issue, etc.).
  5. Submit for supervisor approval.
  6. Check your notifications for approval status.

Pay Stubs & Direct Deposit

Access your payment history and manage deposit settings:

  • Pay Stubs: View and download pay stubs from the Pay section.
  • Direct Deposit: Set up or update bank information in your profile settings.
  • Tax Documents: Access W-2s and other tax documents when available.

Pay Schedule

Pay periods run Sunday through Saturday. Timesheets must be submitted by Monday at 5 PM for the previous week. Payment is processed every Friday via direct deposit.

GPS Check-In Process

  1. Arrive at the patient's location.
  2. Open the NoidNurse app and go to your current assignment.
  3. Tap "Check In" - the app will request location permission if not already granted.
  4. Your GPS coordinates are captured and verified against the patient's address.
  5. If within the acceptable range, your check-in is confirmed.
  6. If outside the range, you may be asked to confirm you're at the correct location.

Pro Tip

Enable location services and notifications for the best experience. You can also add the web app to your home screen for quick access without downloading from the app store.

Can't log in to my account

  • Verify you're using the correct email address.
  • Check that Caps Lock is not enabled.
  • Try resetting your password using "Forgot Password".

GPS check-in not working

  • Ensure location services are enabled on your device.
  • Allow NoidNurse to access your location (check app permissions).
  • Move to an area with better GPS signal (away from tall buildings).
  • Restart the app and try again.
  • If the problem persists, you can manually confirm your location.

Not receiving notifications

  • Check notification settings in your profile preferences.
  • Verify notifications are enabled in your device settings for NoidNurse.
  • Check that your email address is correct and check spam folder.
  • Ensure Do Not Disturb mode is not enabled on your phone.
  • Try logging out and back in to refresh your session.

Document upload failing

  • Check that your file is in an accepted format (PDF, JPG, PNG).
  • Ensure the file size is under 10MB.
  • Try using a different browser or device.
  • Check your internet connection stability.
  • If the document is a photo, try taking a clearer picture.

Timesheet hours are incorrect

  • Review your check-in and check-out times for each assignment.
  • If you forgot to check out, submit a time correction request.
  • Document the actual times worked in your correction request.
  • Allow 1-2 business days for corrections to be processed.
  • Contact your supervisor if you need urgent assistance.

Quick answers to common questions

Overtime is calculated based on hours worked over 40 in a work week (Sunday-Saturday). Any hours beyond 40 are paid at 1.5x your regular hourly rate. Some states have daily overtime rules - if you work over 8 hours in a single day, those additional hours may also qualify for overtime depending on state law.

If you need to cancel an accepted assignment, please do so as early as possible through the app. Cancellations with at least 24 hours notice typically don't affect your standing. Last-minute cancellations may impact your reliability score and could affect future assignment offers. In case of emergencies, contact the support line immediately so we can arrange coverage.

Yes, you can have multiple patient assignments in a single day. The scheduling system ensures adequate travel time between visits based on your location preferences. You can view all your daily assignments on your dashboard and schedule page. If you feel assignments are too tightly scheduled, contact your coordinator to discuss adjustments.

If a required certification expires, your status will change to "Inactive" and you won't be able to accept new assignments until the credential is renewed. Current assignments may need to be reassigned. To avoid this, pay attention to expiration reminders and start the renewal process at least 60 days before expiration. Upload your renewed credentials as soon as you receive them.

Yes, mileage reimbursement is provided for travel between patient visits during your workday. Travel from your home to the first patient and from the last patient to your home is generally not reimbursed. The current reimbursement rate follows IRS guidelines. Log your mileage in the app after each day, and it will be included in your paycheck.

In a medical emergency, always call 911 first. After ensuring emergency services are on the way, follow your nursing protocols and provide appropriate care within your scope of practice. Document everything in the care log as soon as possible. Notify the patient's emergency contacts and your NoidNurse supervisor. Complete an incident report through the app within 24 hours.

Go to your Schedule page and click "Request Time Off". Select the dates you'll be unavailable and the type of leave (vacation, personal, medical, etc.). Submit the request for approval. You can also temporarily adjust your availability settings in your profile to prevent being scheduled during specific times. Remember to revert your settings when you return.

Your performance rating is based on several factors: patient/family feedback, on-time arrivals, documentation completeness and timeliness, compliance status, and reliability (cancellation rate). Ratings are updated weekly. You can view a breakdown of your rating factors in your profile's Performance section. Maintaining a high rating can lead to preferred assignments and bonuses.

If you arrive at a patient's home and needed supplies are unavailable, document the situation in your care notes and contact your coordinator immediately. Do not use your personal funds to purchase supplies without prior approval. Most routine supplies should be documented in the patient's care plan - if something is consistently missing, flag it for the care team to address with the patient or family.

Remain professional and calm in all interactions. If you experience verbal abuse, harassment, or feel unsafe, you have the right to leave the situation. Document everything factually in your care notes. Contact your supervisor to discuss the situation and determine next steps. NoidNurse does not tolerate abuse of our nurses - we will work with you to find a resolution, which may include reassigning the patient.
